10 school paperwork tasks you can hand over to a machine
Published · by Abdellah El Ghazi, founder of TeamElGhazi
In short: a 5-page PDF guide for school principals, training center directors and training managers. For each of the 10 tasks: how it is done today, what changes once it is automated, and which tools to use. The rule: the machine prepares, a person approves.

The 10 tasks in the guide
- 01Pre-enrollment — Online form → record created in a sheet + automatic confirmation.
- 02Parents' repeated questions — Ready answers, AI drafts a reply, a person approves.
- 03Tuition reminders — Polite reminder before the due date, late list for the principal.
- 04Absences — Attendance taken on a phone → families informed the same day.
- 05Notices and reminders — Notice + reminder the day before, from the same list.
- 06Sign-in sheets — Attendance checked online → monthly summary ready.
- 07The self-grading quiz — Automatic grading → table of topics to reteach.
- 08Completion certificates — Generated as PDFs from the attendance list.
- 09Satisfaction surveys — Sent at the end of each session, summary ready.
- 10Meeting minutes — AI drafts the minutes and action list, reviewed before sending.
In the guide, each task is laid out in three lines (today, automated, tools), and the last page shows where to start: one task only, the one that comes back every week.

Frequently asked questions
Is the guide really free?
Yes. Leave your name, e-mail, type of institution and country, and download the PDF right away. You will then receive two follow-up e-mails at most, and you can unsubscribe at any time by replying UNSUBSCRIBE.
Do I need paid software to automate these tasks?
Not necessarily. For each task the guide lists tools that are often free (Google Forms, Google Sheets, Google Calendar, WhatsApp Business) and n8n when several tools need to be connected. The right choice depends on what your school already uses.
Does AI replace administrative staff?
No. The rule of the guide is simple: the machine prepares, a person approves. Automation removes repetitive work (retyping, reminding, counting) so staff have more time for families, trainees and teachers.
Can you set this up for my school?
Yes. I set up these automations for schools and training centers, remotely, in English or French. Pricing is a custom quote based on the tasks you choose; see the Automation for training providers page.
